Awaiting Funding

Overview

The Awaiting Funding phase begins once implementation activities are complete and all implementation requirements have been satisfied.

During this phase, the Client and R&T confirm operational readiness, coordinate funding activities, and prepare for production launch.

Successful completion of this phase transitions implementation from Testing into active DDM Program operations.

Funding Approach

Awaiting Funding serves as the transition between Testing and production operations.

During this phase:

  • Funding readiness is confirmed
  • Funding activities are coordinated
  • Initial production funding occurs
  • Post-funding validation is completed

Following successful funding and validation activities, the implementation transitions into Hypercare.

Objectives

  • Confirm all funding requirements have been met
  • Validate funding instructions and operational readiness
  • Prepare for production processing and reporting
  • Successfully complete initial funding activities
  • Verify funding, settlement, and reporting outputs after launch 1

Funding Readiness Checklist

Prior to funding, confirm the following items have been completed:

  • Wire instructions have been reviewed and validated
  • Funding amount has been communicated to R&T
  • Report recipients and distribution groups have been confirmed
  • File delivery channels have been tested and approved
  • Funding date has been coordinated with all required parties
  • Operational support and escalation contacts have been identified
  • Internal reconciliation procedures are ready for funding validation
  • Any implementation-related issues have been resolved or documented

Completing these activities before funding day helps minimize delays and supports a smooth transition into production.

Key Activities

Funding Day & Initial Validation

Funding day marks the official launch of program activity. Clients should actively monitor funding, reporting, and settlement processes throughout the day.

Initial Funding Deposit

Funding is received and validated.

  • Initial program balances are established
  • Funding amounts are verified against approved expectations

Client Action: Confirm the expected funding amount was successfully transmitted and received. 1

Report Delivery

Standard funding and operational reports become available through configured delivery methods, if applicable.

  • Scheduled report distribution begins
  • Data feeds and file transmissions are activated

Client Action: Verify receipt of all expected reports and confirm designated recipients can access them.

→ See: Reports Guide – Review report descriptions, delivery schedules, and reconciliation requirements.

Settlement Processing

Settlement workflows are activated.

  • Money movement and settlement activity are processed
  • Operational teams review settlement outputs and exceptions

Client Action: Monitor settlement-related reports and escalate unexpected activity.

→ See: Operational & Systematic Flow – Understand how settlement activity and money movement are processed within the DDM Program.

Post-Funding Validation

Program teams confirm successful funding completion.

  • Exceptions, variances, and missing transactions are investigated
  • Funding status is communicated to stakeholders

Client Action: Review funding confirmations and validate expected balances.

T+1 Reconciliation

On the business day following funding:

  • Funding balances are reconciled
  • Settlement activity is validated
  • Reporting outputs are reviewed for accuracy
  • Open exceptions are resolved

Client Action: Complete internal reconciliation activities and confirm balances match expected results.

→ See: Reconciliation & Position – Understand how funding balances, settlement activity, and reconciliation results are reflected in DDM reporting.

What Clients Should Monitor

During funding and the first several days of production activity, clients should monitor the following areas:

Funding Activity

  • Funding receipt and confirmation
  • Funding amount accuracy
  • Deposit activity posting

Report Delivery

  • Receipt of expected reports
  • File delivery timing
  • Data completeness and accuracy

Settlement Activity

  • Daily settlement totals
  • Money movement activity
  • Settlement exceptions or variances

Operational Exceptions

  • Failed or delayed file transmissions
  • Data discrepancies
  • Account exceptions
  • Insurance coverage exception reporting

Prompt investigation of exceptions helps reduce downstream reconciliation issues. 1

Roles & Responsibilities

Client

  • Validate funding amounts
  • Monitor report delivery
  • Perform internal reconciliation activities
  • Review settlement activity
  • Escalate unexpected exceptions

R&T Implementation Manager

  • Coordinate funding activities
  • Validate funding completion
  • Monitor settlement workflows

Exit Criteria

The Awaiting Funding phase is complete when:

  • Funding deposits have been received and posted
  • Initial funding balances have been validated
  • Settlement workflows have processed successfully
  • Required reports have been delivered and reviewed
  • No material funding exceptions remain unresolved
  • T+1 reconciliation has been completed successfully

Successful completion of these activities confirms the program is operating as expected and ready to transition into Hypercare.
